해외플랜트비서의 영문 비즈니스 이메일에 관한 기초 연구

Abstract

인터넷의 보급과 기술의 발전으로 이메일 커뮤니케이션은 국제 비즈니스 커뮤니케이션을 대표하는 도구로 급부상 하였다. 이메일은 기업에서 시간과 장소의 구애 없이 사용할 수 있으며, 컴퓨터 없이 휴대기기로도 사용이 가능하다. 이메일이 비즈니스 커뮤니케이션 도구로 활용되면서 국내 글로벌 기업이나 외국계기업의 재직자뿐만 아니라 해당 분야로의 진출을 희망하는 대학생들에게 이메일 작성 능력은 매우 중요하게 갖추어야 할 역량 중 하나가 되었다. 세계화에 따른 시대적 조류에 발맞추어 대부분의 기업들은 국제적인 비즈니스를 하고 있으며, 효율적인 비즈니스 커뮤니케이션에 있어 전 세계적으로 통용되는 상업 문서의 70% 이상이 영어로 작성되고 있다. 모국어가 영어가 아닌 한국인에게 국제 비즈니스 환경에서 빈번하게 이루어지는 영문 비즈니스 이메일 작성은 업무 수행에 있어 큰 어려움이 될 수 있다. 하지만 학문적 차원의 영문 이메일 연구에 비해 영문 비즈니스 이메일에 대한 연구는 많이 이루어 지지 않았다. 따라서 실제 비즈니스 환경에서의 영문 비즈니스 이메일에 대한 연구가 시급한 실정이다. 해외 플랜트 비서는 일반 기업 비서와는 다른 고유한 특성을 가지는데, 그 중 대표적인 특성은 ‘국내 수주사와 해외 발주처 간의 의사소통의 통로 역할’이며 모든 업무가 영어로 진행된다. 해외 플랜트 비서의 성공적인 비즈니스 커뮤니케이션을 위해서는 영문 비즈니스 이메일 작성이 매우 중요한 역량 중 하나로 꼽히지만 영문 비즈니스 이메일 작성을 위한 정보는 매우 부족한 실정이다. 따라서 본 연구는 비즈니스 환경에서 이루어지는 영문 비즈니스 이메일 연구를 위해 해외 플랜트 비서가 실제 업무 시 작성하는 비즈니스 영문 비즈니스 이메일을 수집하여 해외 플랜트 비서가 업무 수행 시 구체적으로 어떠한 이메일을 작성하는지 파악해 보고자 다음과 같은 연구 문제를 설정하였다. 첫째, 해외 플랜트 비서가 빈번하게 작성하는 영어 비즈니스 이메일의 대상과 주제는 무엇인가? 둘째, 해외 플랜트 비서가 빈번하게 작성하는 영어 비즈니스 이메일에 나타나 는 빈출 어휘는 무엇인가? 셋째, 수집된 영문 비즈니스 이메일은 어떤 내용적 장르로 분류할 수 있으며, 장르별로 공통적으로 나타나는 무브는 무엇인가? 본 연구를 위해 서울 소재 대기업 건설사에 근무 중인 해외 플랜트 비서 7명을 대상으로 이들이 업무 상 실제 작성하는 영문 비즈니스 이메일 2개월 분량을 총 154편을 수집하였다. 연구자가 예비조사 시 발생한 특수 문자로 인한 오류 예방 및 기업의 민감한 사항의 기밀 유지를 위해 연구자가 수작업을 통해 자료를 전처리 하였다. 전처리 된 이메일의 텍스트를 코퍼스로 구축하였다. 연구는 1단계 이메일의 대상과 주제분석, 2단계 이메일에 나타나는 빈출어휘, 빈출어휘구, 주제별 어휘구분석, 3단계 이메일의 장르 및 무브분석 총 3단계로 진행하였다. 1단계로 해외 플랜트 비서가 업무 시 작성한 영문 비즈니스 이메일 코퍼스를 구축하여 이메일의 대상과 주제분석을 MS-Excel(2013버전)을 이용하여 실시한 결과, 해외 플랜트 비서 영문 비즈니스 이메일의 대상은 직속상사, 엔지니어, 팀전체와 같이 3가지로 분류할 수 있었고, 각각의 대상별 주제는 문서관리, 한국생활 관련 등 다양하게 나타났다. 2단계로 코퍼스 응용 소프트웨어인 AntConc(3.4.4w)를 이용하여 빈출어휘를 도출 하였다. 워드리스트(Word list)와 엔그램(n-gram) 기능을 통해 내용어 빈출어휘 50개 및 빈출어휘구 20개를 추출하였다. 엔그램(n-gram)을 활용하면 학습자의 어휘 학습에 도움을 줄 수 있으므로 주제별 영문 비즈니스 이메일에 나타난 어휘구를 추출하였고, 추출된 어휘의 특징을 살펴보았다. 3단계로 Orlikowski와 Yates(1994)의 반복되는 이메일에 사용되는 네 가지 장르분석 틀을 참고하여 MS-Excel(2013버전)을 이용하여 빈번하게 나타나는 장르와 무브를 파악하였다. 그 결과, 해외 플랜트 비서의 영문 이메일에 나타나는 장르는 요청, 안내, 답변의 세 가지 장르가 가장 빈번하게 나타났다. 선행연구를 기반으로 무브 분류표를 작성하고 장르별 빈번하게 활용되는 무브를 예문과 함께 파악하였다. 본 연구의 결과는 실제 비즈니스 환경에서의 영문 비즈니스 이메일을 이해하기 위한 기초적인 자료로 활용될 수 있을 것이다. 본 연구에서 추출된 빈출 어휘, 무브 및 장르에 대한 지식이 현직 해외 플랜트 비서와 해당 분야로의 진출을 희망하는 학생들에게 실제적이고 유용한 정보를 제공할 것으로 기대한다. 또한, 이메일 사용은 매우 일상적이나 영문 비즈니스 이메일 관련 연구는 매우 부족한 실태이므로 향후, 다양한 직무 별 비즈니스 환경에서의 영문 비즈니스 이메일에 대한 연구가 더욱 활발히 진행되길 바란다.;Basic Research on Business Email in English by International Construction Plant Project Secretaries in Korea. Due to the Internet penetration and advanced technology, email has emerged as a representative tool for international business communication. Email service can be used anytime anywhere and it is available on mobile devices without having to have a computer. As email has been utilized as a tool for business communication, email writing has become one of the most critical capabilities for not only workers at global companies and foreign-affiliated companies in Korea but also for undergraduates who hope to work in such fields. Keeping up with the current trend of globalization, most companies are doing business with international counterparts and more than 70 percent of commercial documents are written in English for effective business communication. However, for Koreans working in an international business environment where they frequently have to write business emails in English, it can be a huge challenge as they are not a native English speaker. Unlike abundant researches on academic emails in English, a few studies have been conducted on business emails in English. Thus, business emails in English in an actual business environment are in urgent need of more research. International construction plant project secretaries in Korea have unique characteristics that differ from secretaries in other firms. One of them is “its role as a channel for communication between foreign companies that place order and Korean companies that receive order” and the entire process of business is communicated in English. Therefore, writing business emails in English is regarded as the most crucial capacities for international construction plant project secretaries in Korea to successfully serve their role as a communicator. However, information on writing business emails in English is exceedingly scarce. In order to explore business emails in English in an actual business environment, this study collects business emails written in English by international construction plant project secretaries in Korea and selects subjects as the following to investigate the details of emails written by them during work. First, who are the recipients and what are the topics of business emails in English written by international construction plant project secretaries in Korea? Second, what are the frequently appeared words that international construction plant project secretaries in Korea mainly use? Third, how can the aggregated business emails be categorized in terms of contents and what are similar moves among categories? This study collects the total of 154 business emails in English written over the course of two months by seven international construction plant project secretaries working for conglomerate construction companies based in Korea. To prevent any error that might be resulted from special characters during preliminary study and to keep confidentiality of sensitive business information, the researcher preprocesses data through manual tasks. Texts on the preprocessed emails are built as a corpus. The study is performed in three stages – (1) analysis on email recipients and topics is performed in the first stage, (2) analysis on frequently occurred words, phrases and on phrases in terms of topic used in emails is conducted in the second stage, and (3) analysis on genres of emails and move analysis are carried out in the third stage. In the first stage, the study builds a corpus from business emails in English written by international construction plant project secretaries during their work and analyzes the recipients and topics of emails using MS-Excel 2013. The recipients are categorized into three: immediate superiors, engineers and entire team members, and the topics vary from document management to basic information concerned with living in Korea. In the second stage, the study extracts most frequently appeared words by using corpus application software, AntConc (3.4.4w) and obtains 50 frequently appeared content words and 20 frequently used phrases using Word list and n-gram functions. As n-gram function can be helpful in learning words, this study extract words and phrases, used in the business emails, and examines the characteristics of the extracted vocabularies. In the third stage, by referring to four genre analysis tools repeatedly used in the emails (Orlikowski and Yates, 1994), the study investigates genres and moves frequently appeared in the emails by using MS-Excel 2013. ‘Request’, ‘notification’, and ‘answer’ are the three most frequent genres in the English emails written by international construction plant project secretaries. Based on precedent studies, this study charts a classified table for moves and examines the most commonly used moves with example sentences. The results of this study may be utilized as preliminary data in understanding business emails in English in an actual business environment. It is expected the extracted vocabulary and knowledge on moves and genres of the business emails explored in this study will be useful and beneficial to current international construction plant project secretaries and students hoping to work in the field. Although emails are commonly used, research on the business emails in English is immensely scarce. This study on business emails in English in various fields of business environments will be carried out more actively henceforward.
