웹 기반 국제회의정보관리시스템 설계 및 구현

Abstract

하루가 다르게 변화하는 정보사회 속에서 많은 조직은 계속해서 사무의 정보화를 추진해오고 잇다. 최근에는 조직 내부에서는 인트라넷을, 외부와의 교류는 인터넷을 통해 업무를 처리하는 경향이 확산되고, 특히 웹과 데이터베이스의 연동기술이 각광받으면서 정보시스템에 이용되고 있다. 그러나, 21세기 유망산업이고 정부의 여러 가지 정책적 지원을 받으면서 계속적인 발전과 성장세를 보이고 있는 국내 국제회의산업은 정보화의 흐름에 있어 뒤쳐져 있는 것이 현실이다. PCO를 중심으로 정보시스템 현황을 조사한 결과, 정보시스템을 보유한 업체는 하나도 없고, 대부분 자료 관리는 일반 사무용 소프트웨어만을 이용하는 수준에 머물러 있는 것으로 나타났다. 이에, 본 연구의 목적은 국제회의 홍보 및 유치에서부터 원활한 회의 운영과 관리 업무에 이르기까지 국제회의 전 과정에서 필요로 되어지는 국제회의와 관련된 정보를 체계적이고 통합적인 방법으로 관리할 수 있는 국제회의정보관리시스템(ICIMS)의 모델을 제안하고, 모의 국제학술회의를 통해 프로토타입을 구현하는 데 있다. 이러한 목적을 달성하기 위한 방법은 우선 문헌조사와 현장인터뷰 등을 통해 국제회의 업무 및 정보시스템 현황을 파악하고, 구조적 시스템 분석 기법을 통해 분석하고, ICMS 의 모델을 아키텍처로 작성한다. 그리고, 그 일부를 모의 국제학술회의를 설정하여 웹과 데이터베이스 연동기법을 사용하여 상향식 구현방법(bottom-up approach)으로 프로토타입을 구현하고 테스트한다. 국제회의정보관리시스템(ICIMS)은 크게 국제회의데이터베이스, 용역/인력데이터베이스, 기초데이터베이스 3개의 데이터베이스로 이루어져 있고, 하위 세부파일들로 구성된다. 주최 측으로부터 유치의뢰를 전달받은 사무국 기획팀은, 인터넷 상의 기초데이터베이스로부터 필요한 정보를 얻어 계획안과 회의일정을 정한 뒤 회의준비운영팀으로 전해주게 되며, 회의준비운영팀은 회의일정 입력, 참가자 등록, 홈페이지 작성 장비/비품 준비, 회의자료 준비, 후원기관 선정, 전시업체 선정, 인력일정표 작성 등의 작업을 하여 국제회의데이터베이스로 처리한다. 이 때, 인력일정표 작성 시에는 각 업체와 인력으로부터 수시로 접수받아 관리하는 용역/인력데이터베이스를 이용한다. 한편, 참가자와 연사는 인터넷을 통해 직접 등록과 등록 확인 등이 가능하며, 이렇게 내부와 외부로부터 처리된 정보를 사무국은 국제회의를 원활히 진행시키기 위해 다양한 검색을 통해 사용한다. 이러한 흐름을 가진 전체 시스템을 본 연구에서는 ‘한.중.일 비서학 국제회의’라는 모의 국제학술회의를 설정하여 프로토타입하였다. 프로토타입한 시스템 환경은 IIS4.0을 서버로, Internet Explorer4.0을 웹 브라우저로, MS Access97을 DBMS로 하고, 웹과 데이터베이스를 연동하는 프로그래밍 언어로 ASP를 사용하였다. 프로토타입에 사용된 모듈은 키워드에 의한 회의일정 검색 모듈, 등록 모듈, 개인별 등록확인 모듈, 등록사항 수정 모듈, 등록사항 삭제 모듈, 관리자 로그인 모듈, 명단과 상세내용 보기 모듈, 회의일정과 참가자 검색 모듈 등이다. 본 연구의 결과물로서 국제회의정보관리시스템(ICIMS)은 다음과 같이 활용될 수 있다. 첫째, 인터넷 상의기초 데이터베이스를 이용하여 국제회의를 기획할 수 있으며, 둘째, 홈페이지를 통한 홍보가 가능하고, 셋째, 국제회의 관련정보의 체계적인 관리가 가능하며, 넷째, 통합된 정보관리로 정보검색이 용이하다. 그리고 다섯째로, 조직력 있게 국제회의를 운영할 수 있으며, 여섯째, 조직 내 정보공유가 가능하고, 마지막으로, 웹 환경을 이용하여 참가자와 연사 등으로부터 직접 등록을 받을 수 있어 사무국의 업무를 덜고 국제회의를 효율적으로 운영할 수 있다. 본 연구는 무엇보다도, 현재 설계되어 있지 않은 국제회의정보시스템을 현장의 요구와 업무 분석을 통해 국제회의 정보관리시스템(ICIMS)이라는 정보시스템 모델을 제시하여 그 기초를 제공하였다는 데 가장 큰 의의가 있다고 할 수 있다. 또한 그 구현에 있어 별도의 프로그램이 필요 없는 웹 환경을 이용함으로써 경제적 비용 부담을 없애는 동시에, 시스템 구축을 용이하게 했다는 점도 의의라고 할 수 있다. 그러나, 이러한 의의에도 불구하고, 본 연구는 몇 가지 한계점을 갖는다. 첫째, 기존에 국제회의정보시스템을 연구한 자료나 현장에서 사용중인 정보시스템이 없는 상황이어서 시스템 모델 제시에 있어 객관성에 다소 문제가 있을 수 있다는 점이다. 둘째로, 시간과 비용 등 전체 시스템을 구현하기 어려운 점 때문에 모의학술회의를 통한 프로토타입 구현으로 제한한 점이다. 따라서 향후 본 연구가 다루지 못한 전체 시스템 구현이 행해질 것과 더욱 다양한 모듈을 통해 업무의 능률을 향상시킬 수 있는 연구가 뒤이어 나오길 기대한다. ; A lot of organizations have propelled informationized offices and recently the uses of intranet and internet have been extended to offices. However, international convention industry falls far behind others in information office, even though it is 21st promising industry showing continuous growth. Based on the result of the survey, no PCO has any information system and they just use general software for office such as MS Office, Hangul. Therefore, the purpose of this study is to design and ICIMS(International Convention Information Management System) to manage all the related information of international convention in a systematic and integrated way and to implement prototype by trial international convention. This study is done by paper research for international convention and ASP of programming language connecting web and database and survey by interviews or telephone calls for present conditions of PCO s information system. And job and system analysis and system design of ICIMS are followed and for system implementation a trial international convention os prototyped by the way of bottom-up approach. In the last place, it is tested of solving problems. ICIMS includes primary database, subcontractor/human resource database, and international convention database. And each database is consisted of several related files. Planning team of secretariat makes plan and sets a convention program utilizing primary database on th internet according to host institution s request. Convention preparation team of secretariat do entry of convention program, registration of participant, creation of homepage, preparation of equipment/stationery, preparation of minutes/data for convention, selection of sponsor, selection of exhibitor, and arrangement of worker s schedule, based on convention program from Planning team. The data through those works at convention preparation team are proceeded to international convention database . At this time, for arrangement of worker s schedule, subcontractor/human resource database is used, on which is managed the data applied by companies and men or women. Also, participant or presenter can register by himself or herself through ICIMS on internet and the secretariat can retrieve information in different kind of ways, which in needed to operate international convention. For implementing ICIMS, the trial international convention of Korean, Chinese, and Japanese Convention on Secretarial Science is prototyped. Prototyping is done on IIS 4.0 for web server, Internet Explorer 4.0 for web browser, MS Access 97 for DBMS, and ASP for programming language to connect web and database. The modules in prototyping are as follows: convention program retrieval module by keyword, registration module, registration confirmation module, registration edit module, registration delete module, administrator log-in module, list and details module, convention program retrieval for administrator, participant retrieval module, etc. ICIMS can help planning international convention by using of primary database on internet. publicizing by homepage, managing information systematically, retrieving information easily, operating convention organized, sharing information, and increasing efficiency of works by being registered directly from participant presenter. Most of all, this study has a significance of giving a basis by suggesting the information system model of ICIMS which is designed through the request of PCO and analysis of job. Also, ICIMS has the merits to save expenses by using of web and make easier to implement the system. However, this study has the limited to implement just prototype of trial international convention, not the entire system. Therefore, it is expected to implement ICIMS entirely and develop many different kinds of modules to improve efficiency of the job.
